After your first sign-in, onboarding asks you to create a new agency or join an existing one with an invite link or code.
Creating an agency makes you the owner. You can name the workspace, optionally pick a trial plan intent, and invite teammates later from Teams or Settings.
Joining requires a valid invitation from an owner or admin. Accept the invite, then you land in that workspace with the role they assigned.
Each member has a role such as Owner, Admin, Manager, or Employee. Roles control which modules and actions you can use.
Owners and admins can invite people, manage seats, and change organization settings. Managers typically oversee projects, time, and people-ops areas their plan allows. Employees focus on assigned work.
Admins can also set custom permission overrides for a specific member when the default role is not enough. Access is always enforced again by the database (RLS)—hiding a button is not the only check.
Open Personal settings from the profile menu in the header. Update your display name, job title, and profile photo.
Appearance lets you choose Light, Dark, or System theme. You can also toggle theme quickly from the header Theme control.
In Account settings you can change your password, request an email change, enroll authenticator-app 2FA (TOTP), and manage passkeys.
When 2FA is required, sign-in shows an extra verification step after password, Google, or passkey.
Passkeys can be registered on supported devices and used as a passwordless sign-in method. You can remove them anytime from Account settings.
Account deletion is available from Account settings and permanently removes your user account subject to product rules—use carefully.
If you belong to more than one agency, use the organization switcher in the sidebar to move between workspaces.
Each workspace has its own plan, members, projects, and data. Creating another organization is available from the switcher when your account allows it.
The left sidebar lists modules your plan and role allow (Dashboard, Projects, Tasks, Calendar, Time, and more). On small screens, open the same nav from the hamburger menu.
Press ⌘K (Mac) or Ctrl+K (Windows/Linux) to open workspace search. Find pages, settings, and live results for projects, tasks, docs, deals, and people.
Use the + Global Create menu in the header to start a task, project, event, deal, client meeting, doc, or invite—options depend on plan and permissions.
Collapse or expand the sidebar with ⌘B / Ctrl+B.
If Taskonomy support is temporarily viewing your workspace to help troubleshoot, you may see an amber support-mode banner.
While support mode is active, writes may be blocked so data stays safe. Normal editing returns when support mode ends. This is not a setting customers turn on themselves.
Some modules exist in the product roadmap but are not in the live customer surface today:
Standalone Files browser — unavailable (you can still attach files on tasks, projects, messages, and docs).
Payroll — unavailable.
Recruitment — unavailable.
My Tasks as a separate route — unavailable; use the main Tasks module instead.
Projects group delivery work for a client or internal initiative. Create projects from the Projects page or Global Create.
Open a project to manage details, members, attachments, and related tasks. Draft forms may restore if you leave mid-create.
Access depends on your role and project membership. Storage for attachments counts toward your plan’s storage limit.
Tasks live under Projects and the Tasks board/list. Assign owners, set due dates, track status, and discuss in comments.
Attach files on tasks even when the standalone Files module is hidden. Mentions and comments can notify teammates.
Some workflows include review or approval steps depending on how your team uses statuses. Use filters and search to find work assigned to you.
Start a timer on a task to track billable or productive time. Heartbeats keep the session honest while the browser is online.
Timers stop when you go on a break, when the browser goes offline, or when the device/browser session ends—not merely because you switched tabs or were briefly inactive.
Managers can see org-wide active timers from Active Now panels. A connectivity notice explains browser limits when relevant.
The Time module surfaces tracked time for review and reporting. Entries come from task timers and related time records your plan allows.
Use it with Reports when you need summaries for clients or internal review.
Attendance lets people check in for the workday. Remote check-in is typically manual; on-site check-in may use geofencing when configured.
Approved leave can disable check-in for those days. Admins configure attendance expectations in organization settings.
Request leave from the Leave module. Approvers review pending requests according to role permissions.
Approved leave can affect attendance check-in. Notification preferences control email and push for leave events.
Teams (people) management covers invites, roles, and seat usage against your plan. Departments help organize members when your workspace uses them.
Only owners/admins manage billing-sensitive seat changes. Custom permissions can fine-tune what a member can do beyond their role.
Loans & Advances is a light people-ops tool for tracking employee advances—not a full payroll engine.
Request and approval flows depend on permissions. Payroll itself is not in the live product surface.
Sales CRM covers pipeline deals, people/contacts, and related sales artifacts your plan entitles.
Create deals from CRM or Global Create. Move opportunities through stages, attach quotes where available, and keep next steps visible to the team.
Calendar holds events and client meetings. Schedule from Calendar or Global Create.
Client meetings can include an in-app video stage when configured. You can share a guest link at /meet/… so external participants join a lobby without a full Taskonomy account.
Guests may enter a display name; hosts control whether a name is required. Call Transcript can capture the conversation when that feature is enabled for the workspace.
Project invoicing lets you create and manage invoices tied to delivery work when your plan includes project invoicing.
Invoice lists and detail views live under the Invoices area of the app. Client payment collection for your customers is separate from Taskonomy workspace billing.
Organization settings (for owners/admins) cover workspace profile, membership-related controls, and other org-level options.
Personal settings remain under the profile menu and only affect your user.
Taskonomy uses flat organization plans (for example Free, Starter, Growth, Enterprise) with seat and resource limits—not per-seat checkout in the product today.
Starter and Growth may include a short trial. When a trial ends, the workspace typically moves to Free unless a paid plan is started. Cancel before a trial ends if you do not want to be charged.
Open Settings → Billing to see your current plan, status, trial end date, and usage meters (seats, projects, tasks, storage).
Owners/admins can pay for Starter/Growth in Billing when checkout is enabled, open the billing portal for payment methods and cancellations, or switch to Free in-app (also cancel recurring billing in the portal).
Paid subscriptions, cancellations, and refunds follow the taskonomy.app Terms of Service and Refund Policy—cancellation at period end, contact for refunds, and consumer withdrawal rights where the law requires them.
Enterprise and custom plans remain sales-assisted. If checkout is unavailable, email [email protected].
Taskonomy is installable as a Progressive Web App on mobile. On supported Android browsers you may see an Install Taskonomy banner; accept it to add the app.
On iPhone/iPad Safari, use Share → Add to Home Screen. The install hint can be dismissed and will remember your choice.
When launched from the home screen (standalone), Taskonomy skips the marketing homepage and opens sign-in or your dashboard directly.
Service workers register on mobile clients to precache assets and power push. Desktop browsers unregister leftover service workers so desktop stays a normal website.
Taskonomy is not a full offline app. Page navigations still need a network connection. Cached icons and static assets may load faster, but workspace data requires being online.
If the browser goes offline, active task timers stop and you may see a connectivity notice.
After we deploy a new version, the app may detect an update, refresh the service worker/cache, and reload so you are not stuck on a stale build.
The header bell opens your notifications center: unread items, mark as read, and deep links into the related task, leave request, or other record.
Settings → Notifications controls email and push masters plus per-topic toggles (tasks, mentions, leave, loans, finance, notices, attendance, messages, calls, calendar).
Web push works on mobile when the service worker is active. On iOS, push generally requires installing to the Home Screen first. After login, Taskonomy may attempt a best-effort push subscribe.
Browser permission prompts may appear the first time notifications are enabled. You can revoke permission in the browser or OS settings anytime.
